An extremely useful feature in SCOT is Bulk Email. It allows you to share with suppliers the results of their performance and, if the case, penalties. We call these Reports. The main advantage of Bulk Email is the automated email distribution, which helps you save a tremendous amount of time. You prepare one email, select the desired suppliers and then each of these suppliers will receive their own reports for the period in question right from the system.


IMPORTANT! To be able to send these reports, first make sure that:

- performance has been calculated

- suppliers have contacts defined in SCOT

- penalties have been calculated (if you work with penalties in your country)


Most commonly used* reports in SCOT are:


1. Performance reports - Monthly or Quarterly, depending on contractual agreement

2. Penalty reports - Monthly or Quarterly, depending on contractual agreement


*Other email types are available as per each country needs.


HOW TO SEND A REPORT


1. To send a report, click on New Bulk Email. A new emailing window is shown on the right side of the screen.

2. Under Report Type, select the needed report, for example Performance Report Monthly. System will load a default email template for the selected report type.



3. Select the month using fields Month From and Month To.

4. By clicking on View All, you will see the complete list of suppliers to whom the report will be sent. You can make changes to that list.

5. Subject of the email can be edited. Supplier Number and Supplier Name are dynamically filled in by the system to match each recipient.

6. You can edit the text of the default email template. Changes will be applied only to current emailing session. In case you wish to modify the template itself, please get in touch with us because changes need to be done in the backend by our Tech Team.



After clicking View All, you can customise recipient list:


7. You can use option Send Test Email to send a test email to your own email address and check the layout, attachments, etc.


8. To send the real email, click Send Email.

9. You can then check the Status in the left part of the screen under Bulk Email History. Click on the last entry in the grid and Details will be shown on the right side of the screen.
